Instructions for Presenters

General Instructions
  • Please check the Congress Programme for the date/time and session your presentation has been allocated to.
     

  • Oral and poster sessions will have a session chair who will introduce the speakers and facilitate questions from the audience. Mini-Symposia, Instructional Courses and Special Interest Groups should assign their own chair.
     

  • Event staff/volunteers will be in each room to support in case of technical issues.
     

  • Presentations should be given in English only.
     

  • It is not permitted to use your own laptop for your presentation as changing laptops takes valuable time and might cause technical difficulties.
     

  • It is not necessary to send your presentation(s) in advance of the Congress. Presentations for oral communications, poster pitches, mini-symposia, instructional courses and special interest groups must be uploaded at least two hours in advance of your session on a USB-key in the Speaker Preview Room. (If you are presenting in a 08.00 session, your presentation can be uploaded between 07.00 and 07.30 on that day, or any time the previous day within the opening hours).
     

  • Speaker Preview Room Opening Hours (subject to minor changes, room names to be confirmed)

    • Wednesday 3 June, 15.00 – 18.00, Áras na Mac Léinn Building

    • Thursday 4 June, 07.00 – 16.30, Áras na Mac Léinn and Arts Millennium Buildings

    • Friday 5 June, 07.00 – 16.30, Áras na Mac Léinn and Arts Millennium Buildings

    • Saturday 6 June, 07.00 – 11.30, Áras na Mac Léinn and Arts Millennium Buildings
       

  • Your presentation should be prepared in PowerPoint, 16:9 format. There is no template for the presentation, presenters may use their own template. Choose an appealing, consistent template that is not too distracting and choose a font style and size that can be read from a distance (font sizes no smaller than 18pt).
     

  • Save any embedded videos as separate files as they may need to be reattached on the day.
     

  • Please ensure you arrive at your room at least 10 minutes before the start of the session so that you can check that your slides are in order and meet your chairperson.

Oral Communication 

Oral Communication sessions consist of a group of talks within a theme by individual participants (including questions and answers) and will be scheduled in concurrent sessions of 60 - 90 minutes.

​

  • The duration of an oral communication presentation should be maximum 7 minutes. If a presenter overruns the allocated presentation time, the session chair may intervene and ask the presenter to conclude the presentation.

​

  • Following the presentation there is 3 minutes for Q&A with the presenter. During this live discussion/Q&A the session chair(s) and audience can ask questions to the presenter (either verbally or via the Congress App).

Technology & Innovation Poster Pitch / 
Scientific Poster Pitch 

Poster Pitches include:​

​

  • an electronic e-poster accessible via the Congress App and onsite during the entire congress at E-Poster touch-screen display stations, AND

  • a short 2-minute presentation, followed by 1-minute Q&A, in a dedicated (e-)Poster session onsite in a session room

​

  • Your poster must be uploaded to the Poster Upload Portal (for the e-poster screens) in advance (no later than Friday 1 May) AND

  • Presentation slides (maximum of three slides) must be uploaded to the Speaker Preview Room onsite at least two hours prior to your session.

  • If you prefer to present your poster PDF, please ensure that it is also uploaded to the Speaker Preview Room, as this is a separate platform from the e-poster screens. Please note that posters are formatted in portrait orientation. When displayed on landscape presentation screens, you may need to zoom in during your presentation for optimal visibility.

Scientific Poster Display

Scientific Poster Display includes:

​

  • an electronic e-poster accessible via the Congress App and onsite during the entire congress at E-Poster touch-screen display stations, AND

  • a short 2-minute presentation, followed by 1-minute Q&A, by an e-poster screen

  • Your poster must be uploaded to the Poster Upload Portal (for the E-poster screens) in advance (no later than Friday 1 May).

  • There is no need to prepare presentation slides or to upload your poster in the Speaker Preview Room. Your poster will be on display at the E-poster screen while you are presenting.

Guidelines for E-Poster Upload

(for both pitches and display presentations)

 

Your poster will be available for delegates to view throughout the conference on e-poster screens and in the Congress App. Please upload your poster PDF to the

Poster Upload Portal, by clicking on the link that was sent to you by the Congress Organisers.

 

Full instructions are detailed within the portal and you will be asked to do the following:

 

Upload your Poster

  • All posters should be prepared in English

  • Poster size: 1080 x 1920 pixels (16:9 aspect ratio in portrait orientation)

  • Orientation: Portrait (vertical)

  • File format: PD

  • Quality: Avoid using font sizes that are too small, as they can be difficult to read on screen. Ensure photographs and graphics are high quality images.

  • Recommended file size: 3MB or less

  • Maximum file size: 10MB

  • Name your file as follows: First Name_Last Name_Paper Number e.g. John_Smith_543

  • Please ensure you check the content and the quality of your poster before uploading

Mini Symposia, Instructional Courses &
Special Interest Groups 

Presenters are granted the freedom to structure their presentations within the session allocated to them in the congress programme. Feel free to organise your content in a manner that best suits your topic and presentation style.

​

  • Presentations should be prepared in PowerPoint, 16:9 format.

  • All presenters of the course/workshop  must be registered for the Congress and must be present onsite in Galway. There is no opportunity and/or technical support for online presentation.

  • You will have received an Excel spreadsheet to complete with the details of your Chair and presenters. Please ensure you complete this by Monday 30 March so your presenters can be assigned to your session in the Congress Programme.
